Three processes you could review right now
As we roll into the summer break, it’s fair to say that many of us across the business community feel like it’s time for a break! While it’s good to get a little down time, it also presents an opportunity to work on some areas of the business that can be neglected when the day-to-day pressure is on.
We work with a lot of our clients on digital transformation projects. While we see great results, what is always apparent to me is that for many businesses you don’t have to start big. You can cherry-pick smaller projects first to use technology to ensure you have strong information management processes.
So, as we roll into the end of the year, here’s three simple processes that I believe you could review right now to gain a quick win in your business.
Scan to folder
This one is not revolutionary and those of you reading this may be thinking “I’ve been doing this for years!” What’s interesting though is the number of businesses that still scan a document to their mail inbox, making what should be a simple process more time consuming (and error filled) than it needs to be.
One simple step you can take is to automatically move scanned documents into your folder structure automatically, with index data attached. It just means we can capture that data at time of scanning, on the device you’re using, to enable you to essentially future proof those documents with indexed data that makes them easy to find again. It’s a smart, simple solution that’s very easy to scope and implement and one that gives you a win straight away without costing the earth.
Look into document management
Another one that is not new yet it’s amazing to see how many businesses still don’t take document management seriously. In the digital era it’s the lifeblood of your business and is crucial to your success is so many ways.
Cloud based systems are so cost effective now that you really don’t need to spend a fortune on rolling out complex technology. As an example, we can help you with a basic per user solution that is subscription based,. The best part is you can again start small; pick a department or particular function in your business and start there. It will give you a good idea of how to roll it out to the rest of your business.
It’s also worth remembering that it’s not only good business practice, but also one that is going to be heavily legislatedboth now and into the future. Data security is now core to every business, large or small. Digital document management is a very important way of managing your business information.
Set up digital workflows
It’s a topic I write about quite a lot, as it’s one I’m very passionate about. There is so much wasted time around manual processes that you can automate with a good digital workflow solution. They remove inefficient manual processes that waste your employees’ time, cost you money, and cause headaches for your clients.
We are heavily automated in our business and it’s meant that we see huge productivity benefits. It also enables our management team to see blockages in the business, where we might have a potential issue that could affect a client or our own team. It’s enabled us to improve the way we deliver for clients. I am always happy to explain our story to interested business owners. Again, it doesn’t have to cost the earth and you can start with one or two basic workflows to kick things off.
